Adding a new specimen record

  1. Navigate to the specimen page using the bottom navigation bar.

  2. Click the + button to add a new specimen record.

You can also use the three-dot menu and choose a duplicate action when you want to reuse part of the current specimen record.

  3. Select Cataloger.

This is the person responsible for cataloging the specimen. Depending on the project field ID mode, NAHPU can use the cataloger's field number or a project-level field number.

  4. Select Preparator.

NAHPU defaults the preparator to the cataloger. If a different person prepares the voucher or part, update the preparator field.

  5. Select the Taxon.

Start typing to search the project's taxon registry, then select the matching record from the list. NAHPU populates the Taxon Info panel from that taxon record. Because the registry holds records at any rank, material that is not yet identified to species can be linked to its family or genus and refined later.

  6. Select ID Confidence.

This tells later reviewers how confident you are in the identification and helps curators prioritize records that need review. The values are Low, Medium, and High.

  7. Select the specimen Condition.

The default values are Freshly euthanized, Good, Fair, Poor, Rotten, Released, and Unknown. Conditions are a controlled vocabulary: edit the list in Settings > Specimens > Conditions.

  8. Add the Collection date, Collection time, Prep. date, and Prep. time when available.
